Exchange Online Email Migration

As part of the continuous improvement of IT systems we will be migrating users from our current “on premise” email servers to the new “Exchange Online” servers stored in the cloud. Exchange Online has many benefits including greater storage capacity and improved integration with the Office 365 applications.

You shouldn’t notice many differences with the Outlook application. Outlook will automatically connect to your new migrated mailbox and all your tasks, calendar and mail will appear. Exchange Online will be using a feature called Cached Mode. This makes browsing through your emails a lot faster but also means that only emails up to 1 year old will be displayed in your mailbox. Using the search function in Outlook will return all results still even for emails older than 1 year.

If you need to have emails which are older than 1 year in our mailbox you can set Cached Mode to include older emails by following the steps below:

Select File in the top left-hand corner of your window: 



N.B. On a Mac it’s not possible to change the cache length you will be able to see all of your emails in your mailbox

You then need to select Account Settings (1). From the resulting drop-down menu, you then need to select Account settings again (2)

A window will appear with your email address (account name). Double click on your email address.

 

Using the slider, you can now increase the age of emails displayed in your mailbox.

Please note, emails older than one year will still be searchable but may not appear in your mailbox when browsing. If you regularly access emails more than a year old we recommend increasing the age of the emails that are cached.
 
You will need to restart Outlook for these changes to take affect though.


NB - for Mac users

To gain the full functionality of Exchange Online please ensure you enable "New Outlook" on your mac:



Using the Outlook application on your personal computer hasn’t changed. Simply open Outlook and log in using USERNAME@ljmu.ac.uk. As usual you will still be prompted for your LJMU credentials.

You can also access your emails from Office 365. Click on the below link or enter the details in any internet browser.

If you’re doing this from a personal device after clicking Sign in, you will need to enter your LJMU credentials. You won’t need to do this from an LJMU device.

We do not recommend accessing your LJMU emails from the default email app supplied with your Android or Apple device. In fact in the near future, we will prohibit the use of default mail apps so now is a good time to change.

You should be accessing your LJMU email via the Outlook app, its free to download and easy to set up. Please follow the below link for a guide on how to install and set up the app.

Please see the guides at the bottom of this page for details as to how you can remove an email account from your phones default application.

You can access web mail as usual directly from our LJMU Homepage by clicking on the email link.

When you do so you will be asked for your LJMU username and password

After entering your credentials, a page will appear redirecting you to Exchange Online.


 
Click on the highlighted link.

If you have any issues connecting, click the refresh button presented on the webpage. If your mailbox fails to connect again and you have previously accessed web mail on this device previously, try clearing your browsing history and then retry.

Once all LJMU mailboxes have been moved to Exchange Online the above redirect will no longer be required and you will no longer see it.

You can also access Outlook (Web Mail) directly from any internet browser by using the following link.

Again, in exactly the same way as above you will need to enter your LJMU username and password.


Outlook Email Client
Android Email Client
Apple Email Client

If you’re already accessing your emails via the Outlook app you will need to remove your LJMU email account and reregister it. To do this open the Outlook app and go to setting.

Click on your LJMU Email account



Now delete your account
 



If you have your email account set up on your default android email client, follow these steps to remove it.

Please bear in mind these screenshots are on a Samsung android device and some brands may be slightly different.

Open your email client and click on the 3 lines next to the name of your email account.



Click on the “Cog” icon to enter the settings menu



Click on the email account you want to remove.



Click the remove button at the top of the screen.



Click on the “remove” to confirm the removal of the email account.



Please note if you have synced your Outlook contacts and/or calendar with your smart device you may lose some contacts and content on your smart device while it resyncs with Outlook. This only affects those contacts and calendar entry’s which have come from Outlook and can take some time to complete.


If you have your email account set up on your Apple iPhone, follow these steps to remove it.

Click on “Settings”:



And then browse to, and click on, “Mail”:



Within Mail click on “accounts”:



Click on whichever name is associated with your ljmu account (in this instance “Work”)



Click “Delete Account”
